If you have tried to find out what a corporate headshot costs in Regina, you know how it goes. You open a photographer’s website. You see nice photos. Then you see “Contact us for a quote.”

In September 2026 we looked at six Regina photographers who offer corporate work. Only one of them showed a price on their website.

I understand why. Every job is a bit different. But if you are an office manager with a budget to plan, “it depends” is not useful.

So this guide gives you real numbers. Mine, and how they are built. By the end you will know what a fair price looks like, what is included, and what to ask before you book anyone, me or someone else.

Why “it depends” is partly true

A headshot price is mostly time. Time on the day, and time after.

On the day, I set up a small studio: a backdrop, two or three lights, and a spot for each person to stand. That setup takes the same time whether I photograph one person or twenty.

After the shoot, I edit. Every photo gets colour and exposure corrected. Retouching is extra time per photo: stray hairs, a shiny forehead, a mark on a shirt.

So when you see a single headshot priced higher per person than a team day, that is why. The setup is spread over more people.

The four things that change the price

1. How many people

This is the biggest one. One person pays for the whole setup alone. Ten people share it.

That is why my team headshot day rate starts at 8 people. Below that, you can still book everyone together, but each person is priced as a single headshot.

2. Where we shoot

I can come to your office, or we can meet at a location you choose.

Coming to you is usually cheaper overall. Your staff walk down the hall, sit for 5 to 7 minutes, and go back to work. Nobody drives across the city.

Travel within 50 km of Regina is free. That covers places like White City, Emerald Park, Pilot Butte and Lumsden. Further out, there is a travel fee per kilometre.

3. How much retouching

There are two levels of editing, and it is worth knowing the difference.

Basic editing is colour, brightness and crop. Every photo gets this.

Retouching is the extra clean-up: skin, stray hairs, glare on glasses, a wrinkle in a collar. It takes longer per photo.

A single headshot with me includes 2 or 3 retouched photos. A team day includes 1 retouched photo per person, which is what most team pages need. If someone wants more, extra retouched images are $15 each.

4. How you will use the photos

This one surprises people.

Under Canada’s Copyright Act, the photographer usually owns the copyright in a photo they take, unless you agree otherwise. The Act does let a person use a portrait they paid for themselves, for private and non-commercial purposes. A company website or a brochure is not private use. (Copyright Act, s. 32.2)

So some photographers price by usage. A photo for LinkedIn costs one amount. The same photo on a billboard costs more.

I keep this simple. Corporate clients get full commercial use of their photos for the company. Your staff can also use their own headshot on their personal LinkedIn. You do not need to come back and ask.

Whoever you book, ask this question in writing. It saves arguments later.

What is included, and what should be

What is included, and what should be

  • Setup at your location. Backdrop, lights, and everything else. You should only need a room and a power outlet.
  • Direction on the day. You should be told where to stand and what to do. Nobody should have to know how to pose.
  • A chance to choose. Each person should be able to pick their own photo.
  • Files sized for real use. LinkedIn, your website, and print.
  • A clear delivery date. Not "soon".
  • A fix if something is wrong. A reshoot, not an argument.

With me, every person picks their own photo from a private online gallery. Proofs come back in 2 business days, and final retouched photos in 3. Bigger jobs can take up to a week. If a shot isn't right, I reshoot it free.

If a quote you get does not cover these, ask why.

How team pricing works

Here is what a team day costs at different sizes. These use my team rate of $79 per person, which starts at 8 people.

Team sizePrice before PSTTime on the day (approx.)
8 people$632About 1 hour
12 people$948About 1.5 hours
20 people$1,580About 2.5 hours
30 people$2,370About 3.5 hours

Time on the day assumes 5 to 7 minutes per person plus setup. In practice, a team of 20 is done in a morning.

For very large teams, ask for a quote. And if you also want photos of your office or people at work on the same visit, I can price the headshots and the workplace photos together.

The cheapest way to do it

Most of the cost of a bad photo day is not the photographer. It is staff time: people waiting around, walking to another building, or missing the day and needing a second session.

These four things keep it cheap:

  1. Book everyone on one morning. One setup, one invoice, one matching look.
  2. Give each person a fixed time slot. "Drop by between 9 and 12" turns into a queue at 11:45.
  3. Shoot at your office. No travel time for staff.
  4. Plan for the people who are away. Book a short catch-up slot for them now. I can match the backdrop, light and crop later.

I wrote a full guide on running a team headshot day if you are the one organising it.

Here is how a typical team booking goes with me. You send the team size, the office and a rough date. I send a fixed price in CAD within 1 business day, and 25% books the date. On the day, I set up before the first person arrives, and each person is done in 5 to 7 minutes. Proofs arrive 2 business days later, and everyone picks their own.

Single headshots or a team day? Where the break-even is

If you only need a few people photographed, it can be cheaper to book them as singles. Once you reach 8 people, the team rate is cheaper per person.

PeopleAs single headshots ($149 each)As a team day ($79 each, 8+)
3$447Not available (under 8)
6$894Not available (under 8)
8$1,192$632
15$2,235$1,185

One difference to know: a single headshot includes 2 or 3 retouched photos. A team day includes 1 retouched photo per person, all matching. For a team page, one matching photo each is usually what you want.

Budgeting for the whole year

A team page isn't a one-off. People join, leave and change roles. If you plan for that now, you won't be scrambling in July.

Over a yearWhat to budget for
Once a year, or every two yearsA team headshot day for everyone
A few times a yearSingle headshots for new hires, matched to the team set
Before big eventsUpdated photos for speakers or people in the news

A simple rule many offices use: refresh the whole team every two or three years, and photograph new hires in their first month.

Getting it approved: a short note for your manager

If you need sign-off, here is a short note you can adapt:

We'd like to update staff headshots for the website and LinkedIn. Quote: [photographer], [number] people at $[price] per person, plus PST, at our office on [date]. Each person takes about 5 to 7 minutes, so the team is done in one morning. Everyone picks their own photo, and we get full commercial use for the company. Delivery in [number] business days.

The parts managers usually ask about are time away from work, total cost, and whether the photos can be used everywhere. This note covers all three.

Cheap headshots: when they make sense, and when they don't

You can get a headshot for less than $149 in Regina. Mall studios, student photographers and phone apps all exist.

They make sense when:

  • You need one photo for an internal ID badge.
  • Nobody outside the company will ever see it.

They often cost more in the end when:

  • The photos go on your website next to each other, and none of them match.
  • People hate their photo, and you pay twice.
  • Staff can't use the photo on their own LinkedIn because of usage limits.

A headshot is one of the few photos of your business that people look at closely. It is worth getting once, properly.

What to ask before you book anyone

Whoever you book, get answers to these in writing:

  1. What is the full price, including tax and travel?
  2. How many retouched photos per person?
  3. Who picks the photo: the photographer, or the person in it?
  4. When exactly will we have the final files?
  5. Can staff use their headshot on their own LinkedIn?
  6. What happens if someone does not like their photo?
  7. Can you match these photos for new hires next year?

I go through each of these, with what a good answer sounds like, in 9 questions to ask before you book a corporate photographer.
